Customer and property

Record who requested the quote, the service address, the estimate number, and how to contact your business.

Included work and exclusions

List the rooms and tasks covered. Note access, supplies, condition assumptions, and work outside the agreed scope.

Initial clean and optional extras

Price the first visit with quantities and rates. Include an optional extra in the total only after it is selected.

A separate recurring proposal

State the cadence, per-visit amount, and any scope difference. Do not add a future recurring visit to the first-clean total.

Validity and approval

Set the quote's valid-through date and explain how to approve the scope and arrange the appointment.

A first clean with one accepted extra

A fictional residential customer asks for an initial kitchen, bathroom, and general-surface clean. Oven cleaning is offered separately and accepted. Exterior windows, carpet extraction, and moving furniture are excluded.

    Print the blank PDF for a walkthrough, or save the Excel workbook and work in its Template sheet. The Example sheet and completed PDF show how the parts fit together.

  2. Describe the property and scope

    Replace the placeholders with the actual customer, property, rooms, tasks, exclusions, and condition assumptions. Keep the first-clean scope distinct from ongoing maintenance.

  3. Price the agreed work

    Enter quantities, rates, and applicable tax. Review which extras are selected. Keep any recurring per-visit price in its separate proposal section.

  4. Review and send

    Check the total, validity date, and approval instructions. Export or print the completed sheet, send it using your usual channel, and keep the approved version with the customer record.

Before you use the template

Is this cleaning estimate template free?

Yes. The blank PDF, editable Excel workbook, and completed example are free to download without an account or email. A Cleanr subscription is optional and separate.

Can I use it for recurring cleaning?

Yes. The template keeps a recurring cadence and per-visit price separate from the initial clean. Describe the recurring scope and get agreement on it rather than treating the first-clean total as a recurring price.

Does the PDF calculate totals?

No. The blank PDF is for printing and writing in. Use the Excel workbook for editable cells and calculated totals, then review the result before sharing.

Can I import the spreadsheet into Cleanr?

This is a standalone worksheet, not a Cleanr import file. To manage the quote in Cleanr, create it in the app with the relevant customer, line items, and scope.
